Welcome to the Presentation Guidelines
We are excited to have you as part of our event and look forward to your contributions. Below, you will find important instructions regarding both oral presentations and poster sessions. These guidelines are designed to ensure a smooth and efficient experience for all participants, allowing you to focus on sharing your work with the audience.
Please take a moment to review the relevant sections, whether you are presenting your work in front of the audience or via a poster. Should you have any questions or require assistance, don’t hesitate to contact the organizing team.
For authors who have chosen to present their work in front of the audience
We would like to remind you of a few important details regarding your upcoming presentations:
- Presentation Time: Each presentation will last 12 minutes, followed by 3 minutes for questions from the audience. Please ensure that you respect this time limit out of consideration for other participants and to avoid delays in subsequent sessions.
- Presentation Format: We encourage the use of PowerPoint or equivalent formats for your slides. A laptop and projector will be provided for your use during the presentation. Please have your presentation ready on a USB drive or accessible via email/cloud.
- Technical Setup: Presentations must be uploaded to the laptop at the latest during the break before your session. However, we highly recommend uploading your presentation at the start of the day to ensure a smooth process. We also advise arriving a few minutes early to test the equipment.
- Punctuality: To keep the schedule running efficiently, please make sure you do not exceed the allocated time. Timekeepers will assist you in staying on track.
For authors who have chosen to present their work via a poster
A0 Poster formatting instructions (Portrait)
1. Poster size and Layout
- Dimensions: A0 (841 mm x 1189 mm or 84.1 cm x 118.9 cm)
- Orientation: Portrait (Vertical)
- Margins: Minimum 2.5 cm margins around the edges.
3. Sections to Include
Title, Authors, Introduction/Background, Objectives / Problem Statement, Methods / Approach, Results/Findings, Discussion/Conclusion, References, Acknowledgements (if necessary).
4. Font Types and Sizes
Using Arial and Calibri for consistency and readability:
- Title: Font: Arial, Size: 90-100 pt, Style: Bold, centered
- Authors: Font: Calibri, Size: 50-60 pt, Style: Regular, centered under the title.
- Section Headings (e.g., Introduction, Methods, Results): Font: Arial, Size: 50-60 pt, Style: Bold, left-aligned.
- Body Text: Font: Calibri, Size: 28-36 pt, Style: Regular, left-aligned.
- Captions for Figures and Tables: Font: Calibri, Size: 24-28 pt, Style: Italic or regular, under the figures.
5. Line Spacing: Body Text: 1.2-1.5 line spacing for clarity. Between Sections: Leave about 2 cm of white space.
6. Colors: Background: Light colors (e.g., white, light grey). Text Color: Black or dark-colored text for better contrast. Avoid: Bright or clashing colors.
7. Visuals (Figures, Charts, Graphs): Resolution: Use high-resolution images (300 dpi or higher), Size: Visuals should be at least 15-20 cm wide, Labels: Clear titles, axis labels, and legends where applicable.
8. Alignment Consistent alignment of text boxes and visuals.
9. Overall Readability: Ensure readability from a 1.5 – 2 meter distance. Use bullet points and lists for clarity. Keep text concise.
